Managing Users

Users with the Users:create permission within the Darwinium Portal can self-serve access to new Users

  • They are added with their email address

  • Even when SSO access is established, the emails of users need to be added and assigned a Role to use the Darwinium Portal.

Users Screen

  • Navigate to Your Name (top right) > Users.

    • If you do not see Users option, you have not been assigned a Role with any Users permission

  • You will then be able to view all users of the Darwinium Portal within your org, including:

    • Email, First, Last Name

    • Roles assigned

    • Created on: Date user was added to Darwinium Portal

    • Last Sign-in: Date user last successfully logged into Darwinium Portal

Selecting actions on a user allows:

    • Edit User: Change user details and/or roles assigned

    • Reset Password: If non-SSO user email domain, initiate Darwinium Portal password reset

    • Reset OTP: If non-SSO user email domain, re-prompt/reset authenticator app (if can no longer submit One Time Code)

    • Delete User: Remove User from Darwinium Portal

Add New User

To add a new user, click Add User button from Users Screen

  • You will see User Info to add their  Email, First Name, Last Name

Now under Roles choose to:

  • Skip adding roles. Note: Users won’t be able to see any nodes until assigned a role

  • OR: Add role(s) to assign to this user

“I can log in but can’t see anything”

If user cannot see any nodes (green drop down at top next to name), the user was not assigned a role yet

Finally, after selecting Roles option, can add user by clicking Save User.

Upon Save User, the user email will receive an email from Darwinium Noreply <noreply@mg.darwinium.com>

  • If SSO to Darwinium Portal is enabled for that Users email domain, the user can enter their email on https://portal.darwinium.com/ and will be redirected to authenticate via your SSO provider

  • If email domain is not set up for SSO, the email works as an activation email

Non-SSO User Activation

For user not logging in via SSO:

  • Activation email link will prompt user for a password

  • User will then be prompted to add an authenticator for 2FA

Activation emails expire after 48h

The activation email link has an expiry. To avoid doing again, its advised to activate straight away

Edit User

User details can be edited from the Actions menu in Users Screen.

This reopens the User Info and Roles menus

Where details can be updated and roles be added or removed for that user.

Password Reset

If User email domain not using SSO, you can initiate a Password Reset on a User from Actions menu in Users screen.

User will receive a Password Reset email link

Reset OTP (authenticator app)

If User email domain not using SSO, you can reset OTP on a user from Actions menu in Users screen.

Will prompt linking an authenticator app upon next login.

Delete User

Can delete user from Actions menu in Users screen


Deleted users will no longer be able to access the Darwinium Portal

Q: How do I know who can create users?

Only users with a role that has the Users:create permission can add new users to Darwinium Portal.

  1. Navigate to Roles (Your Name (top right) > Roles)

    1. If you cannot see Roles option, you do not have Roles read permission. Contact your internal Darwinium admin or Darwinium support.

  2. Actions > Edit (or double click) on a role

  3. Roles with Permissions > Org Permissions > Users:create grant the permission to add new users to Darwinium Portal
